RED Mountain Resort is seeking an organized and efficient Planning and Development Assistant.

This position is responsible for providing administrative support and organization to the Planning and Development department.

This will be a part-time, year-round position.

The Assistant will report directly to the Director, Planning and Development.

The wage rate for this position is $55,000-$65,000, pro-rated for part time hours and depending on experience and qualifications.

The anticipated start date is April 21, 2025.

RESPONSBILITIES 

  • Maintains and manages hard-copy and digital records and files in accordance with established procedures.
  • Reviews a variety of forms and supporting data for accuracy and completeness.
  • Provides varied administrative support for numerous projects.
  • Provides clerical support to the team as needed.
  • Enters data, files, prepares and maintains documents and notices.
  • Collects, analyses and prepares research related to planning, development and construction initiatives.
  • Ensures contract procurement, execution, storage and payment processes are followed including coordinating bonding, WorkSafeBC and insurance requirements throughout contract or standing agreement duration.
  • Drafts a variety of documents, correspondence and reports related to development applications. Supports the preparation of various materials for internal and external stakeholders that support project delivery.
  • Prepares for and supports meetings, as directed, including scheduling, attendance, preparation of documentation and meeting records.
  • Coordinates circulation of reports and documents related to planning and development projects.
  • Verifies and obtains approval for all invoices, tender recommendations and contracts.
  • Assists in the preparation of budget reports to track, monitor and document project costs and project details.
  • Works closely with finance staff in all aspects of financial administration including establishing and maintaining financial administration and accounting systems for Planning & Development projects.
  • Implements complex filing systems specific to construction projects and planning initiatives.
  • Coordinates with the Director and Manager and RMRAC legal advisor in the drafting and execution of partnership agreements, letters of intent, memorandums of understanding, rezoning related encumbrances and statutory rights of way, grant funding applications, agreements and contract documentation.
  • Monitors projects to ensure the requisite terms of the contracts and agreements are adhered to, specifically as they relate to reporting, submission for expense reimbursement and mitigation of overall risk.
  • Supports the Planning and Development Department in the development of annual updates and work plans.
  • Conducts all work adhering to the confidentiality requirements of RMRAC.
  • Performs other related duties as required.

QUALIFICATIONS & EXPERIENCE

  • High School Diploma
  • Certificate in Business Administration, or a related field would be considered an asset.
  • 1-2 years experience in an administrative position.
  • Proficient in Microsoft Office Word, Excel and Google Apps.
  • Proficient in Adobe Acrobat Standard or Pro.
  • Proficient in Photoshop or Illustrator or other such programs

Skills and Abilities

  • Able to communicate effectively, orally and in writing, including ability to accurately draft, format and proofread documents including minutes, correspondence and a variety of reports.
  • Able to record and draft minutes i.e. ability to comprehend, synthesize and summarize discussions and recommendations.
  • Able to work within deadlines, handle multiple tasks and successfully meet operational challenges.
  • Able to work accurately and handle details that frequently change.
  • Able to work effectively as a member of a team.
  • Demonstrate a high degree of tact, diplomacy and discretion.
  • Able to perform basic mathematical calculations.
  • Written communication must reflect strong writing skills (grammatically correct, good sentence structure, no spelling errors, etc.).
  • Able to use tact and discretion when working with confidential documents.
