Job Description

Come be part of the an exciting economic development initiative for our region! We are driving development of the battery sector to bring new jobs and investment to our communities. We’re currently seeking a motivated, action-oriented team member to support the Director-Metal Tech Alley as she moves this major initiative forward. This is a part-time, temporary position starting as soon as possible and running until March 2025. Send us your cover letter and resume no later than August 30th.

Key Responsibilities:


1. Calendar Management:
o Manage and maintain the executive’s calendar, including scheduling meetings, appointments, and travel arrangements.
o Coordinate and organize meetings, including preparing agendas, materials, and taking minutes.


2. Communication:
o Act as the primary point of contact between the executive and internal/external stakeholders.
o Draft, edit, and proofread correspondence, reports, and presentations on behalf of the executive.


3. Travel Coordination:
o Arrange and coordinate domestic and international travel, including flights, accommodations, and itineraries.
o Prepare and submit travel expense reports in a timely manner.


4. Office Management:
o Oversee the management of the executive office, ensuring that all office supplies and equipment are maintained.
o Handle confidential and sensitive information with discretion.


5. Project Support:
o Assist with the planning and execution of special projects and events as required.
o Conduct research and compile data to support executive decision-making.


6. Document Management:
o Maintain organized files and records for easy retrieval.
o Manage the preparation and distribution of reports, presentations, and other documents.


7. Meeting Preparation:
o Prepare meeting agendas and ensure all necessary materials are available.
o Take detailed minutes during meetings and follow up on action items.


8. Miscellaneous Tasks:
o Perform other administrative duties as assigned to support the executive and the broader team.
o Anticipate the needs of the executive and take proactive steps to address them.


Qualifications:
• Bachelor’s degree in Business Administration, Communications, or related field preferred.
• Minimum of 5 years of experience as an executive assistant or in a similar role.
• Strong organizational and time-management skills with the ability to prioritize tasks.
• Excellent written and verbal communication skills.
• Proficient in Microsoft Office Suite and GSuite
• Proficient in use of Facebook, Instagram and LinkedIn for business.
• Skills with WordPress and/or Canva would be considered an asset.
• Ability to work independently with minimal supervision and handle multiple tasks simultaneously.
• Discretion and confidentiality in handling sensitive information.
• Strong problem-solving skills and attention to detail.
• Ability to work under pressure and meet deadlines in a fast-paced environment.
• Must be eligible to work in Canada.

Hours: 30 hours/week, 9am – 3:30pm
Term: September 27, 2024 – March 2025
Start Date: ASAP
Compensation Range: $22-25/hour commensurate to experience and qualifications, 4% Vacation
