Job Description

This position reports directly to the General Manager and works directly with the other Event Coordinator and Event Volunteers. This position will assist in planning, coordinating and executing all of RED’s winter events in the calendar. This position will deliver events from start to finish with the highest level of production, coordination and organization. The candidate must be comfortable in a leadership role working with many stakeholders and one that demands a creative and business driven mindset with the ability to create strong relationships with all stakeholders while providing an exceptional event experience.

MAJOR RESPONSBILITIES 

  • Organize, coordinate, execute all RED Mountain events. Including but not limited to:
    1. Staff Events, New Events, On hill events, seasonal events etc.
  • Work with the General Manager, Sales and Marketing Manager & Social Media Coordinator to support promotion of all events through social media, poster distribution, and website/calendar updates
  • Be a face on RED social media to promote all RED events
  • Manage the event volunteer program including, recruitment, training, scheduling tracking hours and any other requirements with this team with support from the Event Manager
  • Support communication with all event stakeholders, internal teams, third party coordinators, sponsors
  • Support the General Manager with the P&L and event proposals on a yearly basis
  • Accurate tracking of all budget items associated with events
  • Lead communication with sanctioning bodies as required
  • Support the Event Team in large third-party events i.e. BC Enduro, Broken Goat
  • Management of event assets and prizing including
    1. Inventory Lists and Locations
    2. Organizing per event
    3. Placing orders with sponsors and partners
    4. Communication with Sponsors for additional prizing
  • Ensure all deadlines and timelines are met
  • Clear and effective communication with internal departments involved in the event plan
  • Produce and distribute all event sheets and manage the event calendar
  • Participate and lead pre-event meetings as required
  • Organization of volunteers and internal departments before, during and after events
  • Lead and oversee in all on hill events where required
  • Ensure all waivers are completed for each event and file them for a minimum of 5 years
  • Organize day of event registration areas
  • Participate in event debriefs and post event reports

KEY KNOWLEDGE, SKILLS AND ABILITIES

Education

  • Certificate or Diploma in Events Management or similar discipline

Experience

  • 3+ Years Experience in event planning or event coordination preferably in a resort environment with a ski industry focus
  • Proven track record of coordinating successful events

Physical and Other Requirements

  • Must be able to work outside for up to a minimum of 8 hours in a variety of conditions.
  • Must be able to lift 50lb
  • Must be an advanced/expert skier or snowboarder

  • Experience working with a variety of internal departments
  • Excellent organizational, communication and multitasking skills
  • Ability to remain calm under pressure and work in a fast-paced dynamic environment
  • Passion for the outdoors and outdoor events
  • Experience with budget management
  • Experience with sport events with an understanding of the sport system and trends
  • Teamwork and leadership experience
  • Experience managing and leading a team
  • Experience being on social media and a confident public speaker
  • Proficient in Google docs and Sheets
  • Excellent customer service skills
  • Demonstrates willingness to help and go beyond routine duties of the role
