Administrative Assistant – Student Data (Regular)
Job Description
An employee in this classification performs a variety of administrative and clerical duties, including maintaining records on a variety of data bases, and provides general office administration assistance
Reporting to: Principal or designate
Illustrative Examples of Work:
Performs general clerical duties such as: answering telephone inquiries; taking messages; handling mail; photocopying; typing requisitions; correspondence and other material (year end/starting up packages, newsletters, minutes); greeting, directing and assisting students, staff and the general public
Operates a variety of office equipment
Prepares purchase orders, receives, unpacks and verifies receipt of goods
Collects cash, issues receipts and writes cheques
Initiates contact with parents for student absences and parent/ teacher interviews
Maintains databases for student demographics/registration, attendance, academic progress, scheduling, and other information. Generates various forms, reports and lists.
Works with multiple software platforms to assemble and analyze complex information
Maintains an up to date understanding of Ministry course, guidelines and reporting
Requests, receives and transfers student records and other related information to and from other schools, other school districts, and the Ministry of Education
Ensures the computer program is maintained by providing database reorganization, and monitoring all database activities
Registers new students
Performs other job-related duties
Required Abilities and Qualifications:
Grade 12 or equivalent
Office Administration diploma or equivalent combination of recent training, education and experience
Microsoft Office Suite or equivalent plus working knowledge of integrated district software
A minimum of two (2) years recent related experience
Thorough knowledge of computer operation and software applications related to work performed
Ability to make independent judgments, work independently
Ability to work effectively with students, the public and staff
Valid BC Class 5 driver’s licence and an appropriately registered and insured vehicle to perform job related duties.
