
Administrative Assistant – Maintenance
Job Description
An employee in this classification is responsible for the operation of the maintenance office. This includes performing a variety of administrative, clerical and reception duties and the dispatching of employee replacements
Reporting to: Director of Operations or designate
Illustrative Examples of Work:
Performs general clerical duties such as: answering telephone inquiries; taking messages; handling mail; photocopying; typing requisitions; correspondence; greeting, directing and assisting suppliers, staff and the general public
Receives, unpacks, secures and verifies receipt of goods
Monitors maintenance, transportation and custodial budgets including processing of purchase orders and invoices for payment
Maintains and reconciles the petty cash fund
Maintains and monitors departmental inventories (blueprints, keys, supplies and equipment)
Maintains manuals and handbooks
Books facility rentals and completes rental contracts; including invoicing
Prepares absent and replacement employee reports, time cards and WorkSafeBC claims and submits these to payroll
Maintains a data base of maintenance requisitions from schools and departments, generates work orders, monitors the status of the work orders
Processes school bus charter requests
Communicates with bus drivers and dispatches maintenance employees as directed
Processes bus passes
Performs other job related duties
Required Abilities and Qualifications:
Grade 12 or equivalent
Office Administration diploma or equivalent combination of recent training, education and experience
Microsoft Office Suite or equivalent plus working knowledge of integrated district software
A minimum of two (2) years recent related experience
Bookkeeping/Accounting course or equivalent combination of recent training, education and experience.
Thorough knowledge of computer operation and software applications related to work performed
Ability to work independently and maintain confidentiality
Ability to communicate effectively and work co-operatively with students, the public and staff
Valid BC Class 5 driver’s licence and an appropriately registered and insured vehicle to perform job related duties
