Job Description


The BFWD has a job position open for a Secretary Treasurer to start immediately. This is a part time position with hours of work on Tuesdays from 9-3 approximately 20-30 hours a month.



• Proven office management, administrative and bookkeeping experience with SAGE

• Proficient in MS Office Word, and Excel

• Good communication skills and a proven ability to work with the public.

• Able to work independently and as a team.

• Attention to detail & problem-solving skills

• Excellent time management skills and ability to multi-task and prioritize work

• Excellent written and verbal communication skills

Job Duties

• Retain custody of the improvement district’s seal, bylaws, Letters Patent, correspondence, minute books, manuals, financial documents, and files in an orderly manner and makes copies available upon request by the trustees or the public (a nominal charge to the public for copying may apply, and this is set in a miscellaneous charge bylaw).

• Prepare the minutes for each meeting and together with the chair, sign them as correct copies once they are adopted. The agenda may also be prepared by the secretary, or in consultation with the chair, depending on the chair’s preference. Present information about correspondence and payables at monthly meeting.

• Act as assessor/collector for the improvement district and as such, prepare the assessment roll, bill customers, and deposit the revenue in the appropriate accounts. Keep accurate accounts of ratepayer information, addresses, payments, or arrears.

• Pay invoices and monitor the expenditures of the improvement district.

• Prepare bylaws and correspondence on the direction of the trustees. Invite submission of estimates by venders on the direction of the trustees.

• Together with the chair, sign bylaws, agreements, or contracts on behalf of the improvement district.

• Act as returning officer for Trustee elections.

• Responsible for mail pickup as required.

• Maintain website

• Interact in a professional manner with ratepayers and respond promptly to phone messages.

• Maintain complete confidentiality in all Beaver Falls Waterworks District matters.
