Job Overview: As a key member of Rokform's dynamic team, you will provide Administrative and Project Management assistance to department Managers and Leaders, including the prompt and accurate record keeping of project data including labour, equipment, safety, and materials in addition to swift coordination of logistics relating to crew members. You will often be the first point of contact for all clients, providing exceptional customer service.

Answer incoming calls & e-mails in a friendly and professional manner; addressing customer needs directly and/or referring calls to the appropriate manager. Schedule customer estimates, jobs and meetings, ensuring all parties are well informed and available. Work with field staff to monitor and manage daily time sheets; ensuring they are completed with accuracy. Responsible for providing administrative support including composition of routine correspondence, scanning, and preparation of written materials. General A/P and A/R bookkeeping data entry General filing and document control procedures throughout all phases of the project including cost tracking. Assist project Managers with the creation of quotes, estimates, work orders and job costing analysis Assist with project planning, startup and execution. Ensuring material is ordered and staff are scheduled. Project Billing Responsible for keeping common areas tidy and supplies stocked Other misc. admin duties/projects as assigned Education and Experience

1+ years of experience in an administrative role Post secondary diploma or degree - Business admin would be a strong asset 1+ years of experience in project administration would be an asset 1+ years of bookkeeping experience would be an asset Executive Assistant experience would be an asset Strong computer skills including Microsoft Office suite (Outlook, Word, Excel) and the ability to type 50+ words per minute accurately Enjoys customer service and has a professional phone demeanor Strong administrative and clerical skills Knowledge of Sage 50 is beneficial Experience working in the construction industry is beneficial Our business relies on us to deliver our best.
