Job Description
Bell Lumber & Pole Canada has an exciting opportunity for a part time Office Clerk to join the Rossland Production Yard. We are seeking a skilled and organized individual to join our team. In this role, you will support our yard by performing a variety of administrative tasks, including answering phone calls, managing files, and providing general support to our staff in our business activities.
Our company is 110+ year-old family-owned and operated business with operations in both Canada and the United States. We are a manufacturer of wooden utility poles and we are looking for highly motivated candidates with initiative to complete a job with excellence. ESSENTIAL JOB DUTIES:
Administrative responsibilities include but not limited to:
Answer and direct phone calls and respond to emails in a timely and professional manner Receive, sort and distribute the mail Perform typing and data entry as needed to ensure all spreadsheets and data entry points are kept current Maintain office equipment and coordinate repairs Paper flow – ensure paper flow is done on a timely basis, as coordinated with Human Resources Complete and submit payroll documents to HR for processing bi-weekly Create bill of ladings and/or customs forms for yard to yard transfers, pole shipments to customers and non-pole materials Maintain In-bound/Out-bound Load Diaries Create Trucking invoices as required and submit to accounting for payment Paper flow – ensure the paper flow is done on a timely basis, as coordinated with Accounting Complete and submit Residual Reports to BC government monthly for movement of Hog Fuel Run errands and make deliveries as needed. handle other administrative projects when needed Accounting responsibilities include but not limited to:
Prepare and code invoices for approval Maintain accounting reports including: Scale, Inbound, Barkie (pre-production poles), Outbound, Non-pole, Peeling, Send outbound bills of lading, yard change reports, load slips to accounting daily Maintain and submit Fuel Logs and Machine hours to accounting monthly JOB QUALIFICATIONS:
Education: Minimum Requirements:
High school diploma Post-Secondary Office Administration or Accounting courses preferred Experience/Abilities:
Proven experience as an administrative assistant or in a similar role Knowledge of office management systems and procedures Excellent time management skills and ability to multi-task and prioritize work Attention to detail and problem-solving skills Excellent written and verbal communication skills Strong organizational and planning skills Ability to work in harmony with co-workers Understanding of confidentiality Proficient in Microsoft Office and other office software Typing speed minimum 40 wpm Knowledge of Microsoft Dynamics AX is an asset BENEFITS:
