Job Description
Greater Trail Minor Hockey Association is hiring a paid Administrator to oversee the day to day and long-term functions of the association. The specific duties of the position vary depending on the composition of the Board of Directors. The Administrator will be required to work directly with the board to allow the association to run smoothly. The position is based on a one-year contractual commitment and the wage will reflect experience. Qualified candidates will be short-listed and interviewed by the hiring committee. The successful applicant will report directly to the President and Vice Presidents. While the position will require an average of 20 hours per week, this requirement may fluctuate due to the peaks and valleys of the seasonal workflow throughout the year and/or any changes in the scope of the position as determined by the board. The position requires availability during weekends and evenings during the hockey season. The position also requires prompt responses to emails/inquiries (24 hours for registration questions and 48 hours for all others). The position includes some set office hours to be determined by the successful applicant and the President. Training will be provided and preference will be given to someone who has experience being involved in minor hockey.
Position Responsibilities:
Keeps track of key timelines and communicates them to GTMHA directors Supports and develops GTMHA directors and volunteers as required Stay up to date on the rules/regulations from Hockey Canada, BC Hockey, OMAHA, WKMHA, and GTMHA and acts as the key liaison between them on admin issues Monitor the business end of running the association (ie. Society Act, GT Constitution, and BC gaming) and retains key documentation Answer questions about all aspects of hockey Fill in for any board position as needed In the main point of continuity of GTMHA from year to year Because this position requires interfacing with confidential and potentially sensitive information, a high level of confidentiality is required.
Position Qualifications:
Experience as a board member in a minor hockey association an asset Flexibility Experience with Hockey Canada Registry and Hi-Sport Proficient using MS Word and Excel or Google docs and sheets, Adobe PDF, Gmail Ability to effectively prioritize, work with a sense of urgency, and organize workflow to ensure deadlines are met in a fast-paced environment Excellent communication skills, both written and verbal Ability to work collaboratively in a team environment Comfortable giving and receiving feedback Belief in fair play and the positive impact of youth sports This job posting closes on March 28th, 2023.
